GB7 BOARD MEETING MINUTES FOR 09/27/09

 

I. Open Meeting – Meeting was called to order at 3:27 PM.
Quorum Check: Verne Wetherholt (President), Chris Samuels (Vice President), Lori Klein-Blazek (Treasurer), James Richards (Director), John Minderman (Director), John Hurkman (Director), Erick Cobb (Rising Phoenix Chapter Rep), Greg Geilman (Southern Dragons - Chapter Rep)
Approval of previous minutes –Minutes for the last meeting at the GB7 picnic were not available at the time of the meeting.
II. Officer Reports
A. President –Reported on Chapter Reps list sent out. Reported on committees needed for next year. Reported on website for board members board.gamebase7.org.
B. Vice President – No Report
C. Treasurer – The bank account stands at $11,162.78. $240 membership dues will be deposited. One bill for approx $50 is to be paid. We are awaiting check from Gencon.
D. Secretary – No Report
E. Directors at Large
1. James Richards – No report

3. John Hurkman – No Report
III. Committee Reports
Business Affairs - No Report
Board Game League – No Report
Computer Systems – The website continues to be updated as needed.
Conventions - Gen Con went well with Coordinator James Richards readying final report.
Elections – Election results were posted to the website by Ben Dow.
Inventory – Work is still in progress. The question was put out about consolidating the inventory at the Blazek’s. (Yes – 3, No – 3, Abstain – 3) This will wait till Wolfcon.
Local Chapters & Guilds – Complete chapter list was presented with the Hangmen needing to certify 10 members. Sparks turned in report including membership and Gencon participation.
Membership – We currently have 73 active members renewed. Will be sending out notification to chapter reps about members needing renewal. We added ten new members last year.
Newsletter – No newsletter has been published for some time.
IV. Chapter/Guild Reports

1. Gamers of the Apocalypse – Minderman reports that an adult group within this Louisville chapter will be formed and select a representative.
2. Hangmen– No Report
3. League of Extraordinary Gamers – No Report
4. MLC – No Report
5. Outer Rim – Ashley submitted a written report.
6. Rising Phoenix – Erick reported 11 active members, several home campaigns, M-Con plans coming along, and plans to go to Oshcon.
7. Southern Dragon – Greg reported 16 members, 8 ongoing home campaigns, participating in Americon, maintains meet-up group.

VI. Old Business
Membership benefits for 2009/2010
Verne is working on getting game stores to offer discount to GameBase7 members. This would require a printed membership card.
Verne will be negotiating with area conventions to offer a discount to Gemebase7 members.
Improve value of website for members. Allow banner ads on website for vendors to make members aware of new games and supplies. Provide comprehensive list of local and national game conventions. Make members aware of gaming get-togethers in their area. Chris will lead a discussion thread on this topic.
Vendor and Gamer Support
1. A proposal was made to develop a flyer on the club that can be passed out to vendors and prospective club members.
2. A proposal was made to consider creating a Meet-up Group for GameBase7. The cost is $75 /6 months.
3. A proposal was made to consider creating a Facebook/MySpace/Twitter/Other social network account to promote the club.
4. Consider providing club members on a formal basis for demonstrating games at large conventions. James will lead a discussion thread.
5. Work with vendors to demonstrate their games at small conventions.
Club Image – Table Throws and Dice Bags or other premiums
Erick made a motion to allow Verne to negotiate a price and purchase table throws and dice bags or other premium for the club. John Minderman seconded. The motion passed unanimously.
VII. New Business
There was a recommendation to make more information available on the public side of our website.
A request was made to send out information to all chapter reps on accessing the board.gamebase7.org website, a template for chapter reports, and information on how to post article.
Jon Minderman recommended that we explore again a way to identify who are judges and floor managers at large conventions. It was suggested that we discuss our ideas via email.
Elected board members made their wishes know as to which committee they would like to chair this year. Verne will publish the final selections.
VIII. Meeting Schedule
Set time and place for next Meeting -The next Meeting will be held at WolfCon on Saturday November 28th during the lunch break which we believe will be at 1:00 PM.
IX. Motion to adjourn was made by Lori Blazek and seconded by Chris Samuels. Meeting ended 5:03 PM.
